School Hall Hire Agreement

3.1. You will pay us the rental fee with the deposit shown on the booking form. The whole school is a non-smoking area, it is not allowed to smoke. All the following conditions must be met. The “tenant” is the person who makes the rental application and that person is personally responsible for paying all fees or other amounts due for the rental. 19.2. In order to avoid any doubt, we reserve the right, at our sole discretion, to refuse or cancel a reservation at any time if the reason for the rental or the object to be discussed or promoted at the event is something that the venue itself would or would reasonably object to. 22.4. This agreement is governed by the laws of England and we both agree to submit to the exclusive jurisdiction of the English courts. The school has taken out insurance to cover the use of facilities by third parties who do not have $5 million in own liability insurance. However, if the tenant employs a third party, such as a supplier.

The school does not accept rentals without seeing proof of this insurance. Access to the school toilets is included in the rental agreements. 1.2.2. The “booking form” refers to the booking form that has been attached to these rental conditions or completed on our online platform; and you are responsible for obtaining all licenses and delivery of returns that may be required by the Performing Rights Society, Phonographic Performance Limited, The Copyright Licensing Agency Limited and all other organizations related to the rental of the venue for your specific use. You compensate us and the owners of the venue of the event for the consequences of your non-compliance. The tenant is responsible for preventing overcrowding (which would threaten public safety) and evacuating all corridors, passageways and exits. The tenant is responsible for proper supervision in order to maintain order and good behaviour and, if necessary, the tenant must respect at all times the good relations between adults and students. The school has a public entertainment license and a restricted theatre license for 3 areas – halls on both sides and the theatre studio on Towersey Road.

There are very strict rules that must be respected and the school reserves the right to describe in detail tenant agreements for such events. At public entertainment events, South Oxfordshire District Council requires that a designated person be responsible for the event and, as such, be on site at all times when the public is on site. Please include the details in writing on the event information form. Please contact the school for a list of facilities and prices. The tenant cannot rent the premises to another person. It goes without saying that rental fees and payment terms must be clearly stated in each lease. In order to comply with the guidelines, it is important that rental fees are set at market prices. However, please note that the institutions are primarily for teaching and must be respected as such. Anyone who rents rooms or sports facilities is subject to the following rental and use rules: a risk assessment must be carried out before the event or the school reserves the right to impose restrictions in order to guarantee health and safety.

Risk assessment forms are included in the package. If the tenant can prepare a risk assessment project in advance, the information is verified before the event.
